Retention status

Permanent. RDS 2000/17. ;;;;RDS 2000/17 requires the extraction of a sample from closed files for permanent retention. Once records relating to clients of Aboriginal or Torrens Strait Islander descent have been identified for permanent retention, the remainder are retained as records of temporary value. From these remaining records a sample must be taken. The schedule requires that the records of those clients whose name commences with the letter 'P' be retained permanently. This method is employed to ensure that the sample of records retained contains as broad a range as possible of ethnicities. ;;

Description

Files contain a number of 'sub-file' types which include:

Type 55 'Psychology' - The 'Psychology' sub-file contains reports relevant to the referral of the client to the psychologist and material obtained during the course of the referral, eg case conference reports, other medical, social work, psychiatric or psychological reports, interview notes, test materials, etc.

Type 86 'Secure Care' - The 'Secure Care' sub-file will contain mandates, sentencing remarks, update of person details, review board report forms, etc.

Type 87 'Financial Counselling' - The 'Financial Counselling' sub-file consists of application for service, statement of expenses, disclosure of authority, copies of sundry documents, copies of ingoing and outgoing correspondence

Type 88 'Crown Referral' - The 'Crown Referral' sub-file contains information required by Crown Law to present the application to Court.

Type 89 'Appeals and Complaints' - The 'Appeals & Complaints' sub-file contains information which refers to internal enquiries, investigations of FACS customers' complaints and external enquiries such as Ombudsman enquiries, etc.

Type 94 'Country Liaison' - The 'Country Liaison' sub-file is similar to the Client File Type 85.

Type 97 'Freedom of Information' - The 'Freedom of Information' sub-file should contain only that information relating specifically to FOI requests and subsequent processing of those requests.

Two-tiered file number system, but arranged alphabetically by surname.
